Reservation Contract & Deposit

After tentative arrangements are make by phone or visit, the Institute will issue a contract for the User Group which identifies the minimum exclusive use fee. Contracts must be signed by an authorized representative of the User Group and returned no later than fourteen (14) days after receipt of the contract with a 25% non-refundable deposit to secure a reservation.

Guaranteed Number

The authorized representative will contact the Institute and submit the final number of participants fourteen (14) days prior to the function. If the number of participants is greater than the original contract number, the increase will be reflected in the final billing. If the number is less, the group will be responsible for the cost of the minimum guaranteed number.

If no guaranteed number is received by the Institute, the contracted number of attendees will be considered the guarantee.

Cancellation & Refund Policy

If the contract is cancelled within thirty (30) calendar days prior to the program date, 100% of the original estimated cost will be due and payable to Olympic Park Institute.

The Olympic Park Institute reserves the right to cancel a contracted group if the nature of the event varies from that originally agreed upon.

Final Payment

Final payment must be received thirty (30) calendar days prior to the contracted function date. A final invoice will be sent after the function to reflect additional services provided during the stay.

Insurance Requirement

All contracted groups are required to provide a certificate naming Olympic Park Institute, its Board of Directors and their officers, agents and employees as additional insureds for the duration of the reservation period.

Insurance coverage must include public liability insurance with bodily injury limits of not less than $1 million for each person, $1 million for each occurrence, and property damage of not less than $1 million, or a combined single limit policy of not less than $1 million.

The Institute reserves the right to cancel any group reservation if the insurance requirement is not met.
